Link your school number
Connect your school's WhatsApp by scanning a QR code, the same way as WhatsApp Web. You can link up to three numbers to share the load.
Absence alerts
Parents of absent children get a same-day message after attendance is saved, instantly or at a time you choose.
Fee reminders
Pick a class, section or chosen students. Each parent gets a reminder with the child's name, class, pending amount and due date.
Payment confirmations
When the office records a fee payment, the parent can get a WhatsApp confirmation for that receipt.
Gate check-in messages
Schools that use gate check-in can message parents when the child checks in or out. Each can be switched on or off.
Notices to the app
Holiday, fee, exam, meeting and event notices go to the parent app with a notification, to the whole school or one class.

Which messages go on WhatsApp, and which go to the app
We keep WhatsApp for messages a parent must see quickly, and use the app for the rest. This keeps your number healthy and parents less annoyed.
- On WhatsApp: absence alerts, fee reminders, fee payment confirmations, gate check-in and check-out messages, and enquiry replies from a template you write.
- In the app with a notification: school notices, holiday notices, exam alerts with exam dates and portion, meeting and event notices, and exam results.
Exam results are not sent on WhatsApp, and printing hall tickets does not message parents. This was a deliberate choice to avoid spam.
For larger one-off messages, there is an optional WhatsApp Pro campaign tool, on a separate plan. You paste numbers or upload a CSV list, write the message, add files, and schedule it. It sends with a gap between messages and within set hours.

Following WhatsApp's rules
WhatsApp has its own rules, and every school must follow them. Please keep these points in mind:
- Message only parents who expect it. Use numbers parents gave you for school updates, and tell them at admission that the school will message them on WhatsApp.
- Your number can be restricted. If many people block or report a number, WhatsApp may limit or ban it. Linking more than one number and sending at a steady pace lowers the risk, but nobody can rule it out.
- Templates for the Business API. When messages go through a WhatsApp Business template service such as MSG91, the template must be approved first, and the provider charges per message.

Questions schools ask
Do we need the WhatsApp Business API?
Not to start. You can link your school's WhatsApp number by scanning a QR code. A Business API template service can be added as a backup.
Can WhatsApp block our number?
It can happen if many parents block or report the number. Message only parents who expect school updates, and link more than one number to spread the load.
Are exam results sent on WhatsApp?
No. Results go to the parent app with a notification. This avoids flooding parents with messages.
Can we send a fee reminder to one class only?
Yes. Choose a class, a section or selected students, and each parent gets their own child's pending amount.
Is there a cost for WhatsApp messages?
Messages through a Business API provider are charged by that provider. The WhatsApp Pro campaign tool is a separate plan. We explain this in your quote.
Can we see if a message failed?
Yes. Absence alerts are logged in the WhatsApp alerts report with sent and failed status, and fee messages show a status to staff.
