How fee collection works in a school using Nipun

Fee work in most schools follows the same pattern every year. Before the session starts, the management decides the fee for each class: tuition, exam fee, admission fee for new students, and often transport. During the year, parents pay in parts at the counter or online, and the office has to answer two questions at any moment: how much has each child paid, and how much is still pending?

In Nipun Schools, the answer starts with the class fee matrix. The office enters each fee head once per class, for example Class 6 tuition ₹24,000, exam fee ₹2,000 and admission fee ₹3,000 for new admissions. When a student is added to Class 6, the system creates that student's fee plan automatically. Nobody has to calculate a child's total fee by hand.

At the fee counter

When a parent comes to pay, the accountant searches the student by name or admission number. The screen shows every fee head with its total, what is already settled and what is due. The accountant types what the parent is paying against each head (all of it, or only part), chooses cash, UPI, card or cheque, and saves. A receipt prints with the school's name and logo, and the parent can receive a payment message on WhatsApp.

If the management approves a concession, the accountant enters it once as a discount. The system spreads it across the fee heads according to what is still due on each, so after a full settlement every head shows as cleared and no small leftover dues appear in reports later.

Reports the principal actually uses

• Daily collection: cash, UPI and cheque totals for the day, split by fee head, so the cash in hand can be matched before the office closes.
• Pending dues: a list by class or section showing which students have balance, so reminders go only to the right parents.
• Student fee statement: one page per child with every payment and the balance, printed in two copies (parent copy and office copy) on one A4 sheet.

Good practices that reduce pending fees
